Smart Willow Works keeps this policy deliberately plain. It covers the little data this site touches, why we touch it, and the rights you have over it.

❧The data we hold
The site itself stores no personal data. If you contact us by email or through the contact form, we receive what you chose to send — typically your name, your address for correspondence, and the content of your message.
❧Purposes
Everything you send is used to deal with your enquiry and nothing else. No profiling, no automated decisions, no passing your address around.
❧Cookies on this site
This site sets no analytics or advertising cookies. The only thing stored in your browser is a small flag remembering that you closed the cookie notice, so it does not reappear on every page. You can remove it at any time through your browser settings.
❧Third parties
We do not sell, rent or trade your information. It is disclosed only if the law obliges us to, and to no one else.
❧How long we keep it
Correspondence is kept only as long as it is needed to handle your matter and any follow-up, after which it is deleted. Records we are legally required to keep are kept for the statutory period and no longer.
❧Access and deletion
You can ask at any time what information we hold about you, ask us to correct it, or ask us to delete it. Write to owen@smart-willow-works.com and we will act on it promptly after confirming it is really you asking.
❧Protection
What little we hold is stored on access-controlled systems and is not accessible to anyone outside the business.
❧Legal basis
We handle personal information under Japan’s Act on the Protection of Personal Information (APPI, 個人情報保護法). When you write to us, the message and the reply we send are processed on the basis of your own initiative in contacting us — you decide what you tell us, and we use only what is needed to answer you. We do not buy contact lists, and we do not build a profile of anyone who has not been in touch.
❧If something goes wrong
If we ever discover that data we hold has been accessed or lost without authorisation, we assess the risk quickly, tell anyone affected, and notify Japan’s Personal Information Protection Commission if the law requires it. Given how little we hold — mostly a name and an email thread — the realistic risk is low, but the process still applies.
❧Sending email abroad
Email naturally passes through servers outside Japan as part of ordinary delivery — that is how the internet works, not a deliberate transfer. We do not otherwise send your information to processors, marketers, or affiliates in other countries, and we do not run any overseas analytics or advertising tool on this site.
❧Children
This site is not directed at children, and we do not knowingly collect information from anyone under 16. If you believe a child has contacted us, let us know and we will delete the correspondence.
❧Changes to this policy
If this policy changes, the “last updated” date at the top changes with it. Material changes — anything that affects what we collect or why — will be reflected here before they take effect. Checking back occasionally is the only notice you will get; we do not email past enquirers about policy updates.
